Registration and General Conditions

1 - REGISTRATION

Please fill out the registration form and send it to us along with 3 passport photos and a cheque for 50% of the total amount. Please make out your cheque to F.M. SPORTS & LANGUES.

Our holidays are declared with "Jeunesse et Sports". A number of  "Comités d’Entreprises" and other administrative bodies may contribute financially to our holidays. We supply certificates on request.

2 - AFTER YOUR REGISTRATION

You will receive within 10 days upon receipt of your registration form, written confirmation and an acknowledgment of the money received, the invoice and pratical information about the stay. You will then receive your travel information as soon as we have confirmation of the plane timetable. The address and phone number of the hosting family or the residence where your child will be staying, as well as the name and contact number of the local organise or and the name of the French leader will be sent to you before departure.

PAYMENT OF BALANCE: The balance must be paId at last 6 weeks before departure. We do not send reminders out. The date at which the balance is to be paid is indicated on the initial invoice we send out to you.  We do not send out an acknowledgment for payment of balances. However, we can send you a receipt upon request. We reserve the right to refuse the booking if we do not receive full payment before departure. 

3 -CANCELLATION POLICY

>> In the event of cancellation,  F.M. Sports et Langues retains compensation calculated as follows :

More than 30 days before the departure : 15% of the total amount

From 29 to 15 days before the departure: 50% of the total amount

Less than 14 days before the departure : 100% of the total amount

>> In the event of the child returning early from the holiday for family reasons (except in the case of 
cf. § 5) or for breach of discipline (ex: stealing), transport costs will be paid for by the parents. Any holiday begun is to be paid in full.

>> Change asked for by the client : every change must be asked for in writing : an administrative fee of 70 € is charged for each change.

>> F.M. Sports et Langues reserves the right to either cancel a holiday 21 days before departure, for which it has less than 10 participants, or transfer it to another centre which can provide a holiday of equal standing.  In this event, the total amount paid is reimbursed or held over for another holiday on the family's request. No other compensation is paid. 

>> F.M.Sports et Langues cannot be held responsible for any accident or damage caused by transport (road, train, boat or plane). The same applies in the event of transport delays caused by industrial strikes or weather conditions, and for loss or theft of luggage.

>> Complaints : We are always looking for ways to improve our holidays. Please contact us with any remarks you may have or to let us know any problems your children may have had.

4 - COSTS

Holiday costs include: accommodation in a host family or in a college (full-board and laundry according to the centres), supervision, insurance, excursions, transport costs, sports training, language classes and V.A.T.

We inform you that costs fixed in December 2005 may be changed according to fluctuations in the rate of exchange, of transport, or of V.A.T.

This optional guarantee allows you to getback the total amount paid in full in the event of justified circumstances such as illness, hospitalisation or death of the child or a member of the family.

This guarantee costs 45 € for holidays in Europe and 75 € for other countries. This cancellation guarantee must be paid in full on registration in order to be valid. 

On registration,  you will receive an International Safety Passport in which is detailled information about the insurance policies. Here is a summary :

During the journey and the holiday :

The maximum value for each item is 300 euros.
NB : theft of luggage or personal items left without adequate supervision are not covred.

Costs which are not covered are to be paid by the parents or legal guardian.

The children travel by plane from Roissy or Orly and by Eurostar for Funcoast (GB). You  are sent all the details concerning the journey before departure. Parents must bring their child(ren) to the meeting point on time, and be there to meet them on their return journey.  It is very important to be on time at the meeting points because our leaders will not be able to wait for latecomers. 

For the journey, the child must have either his Identity Card and an  autorisation de sortie de territoire (for minors), or a passport (compulsory for non-European countries). 
The permission to leave the country can be obtained at the Mairie where you live.

For those travelling in Europe, you need the European Medical Insurance Card. This applies to all countries except England.

Each leader is responsible for 15 children that he will supervise during the holiday. He himself will stay in a host family or in the same college as the children (depending on the stay) and is always available to solve potential problems. In the event of a problem, the child must alert his teacher. The local organisor can also be contacted in case of difficulty. You will receive his contact details before departure.

9 - GOING OUT IN THE EVENINGS

If a child does not adhere to evening curfew times to come back to his host family, we cannot take responsibility for any problem or accident that may occur (the parents indicate on the registration form whether they allow their child to go out in the evenings, and the curfew times are indicated).

It is understood that the parents of legal guardian accept our conditions and allow FM Sports et Langues the right to use photos and videos of participants for promotion and publicity purposes.
